The Airmen Dormitory Leaders at Davis-Monthan have implemented a new process to increase the ease and efficiency of submitting work orders.
The process includes the use of a quick response code that allows Airmen to submit work orders from anywhere on the dormitory campus via a free QR code scanner smart phones.
A QR code is a two-dimensional barcode, which is attached to an item and records information related to that item. Data can be stored in the QR code related to a website, a digital business card or even an email address.
“The QR code is used to submit work orders directly to our email box,” said Michelle Hancock, Unaccompanied Housing assistant.
Hancock went to a free QR code creation website and chose to connect their code to an email message that would directly go to their workbox.
The ADLs have posted informational sheets containing their QR code and submission directions throughout the campus, so the code is readily available for Airmen to allow them to report discrepancies immediately.
“Airmen don’t like to call, and they can forget to email in work orders by the time they get to their work centers,” Hancock said. “They’ve already got their phones in their hands, so this makes it easy.”
There has been an approximate 10 percent increase in the number of reported discrepancies since July when the system was put in place.
Hancock checks the workbox at the beginning of each business day and sends the reporting Airman his or her work order number as a way to confirm receipt of the discrepancy report.
“Normally, they continue to follow up,” Hancock said. “If they haven’t gotten a response from us, we ask that they follow up.”
The QR code system is meant for normal work order requests such as a broken dryer or washer. It is not meant to be used for emergencies such as a water leak, a gas leak or a broken air conditioner unit in extreme heat.
To report emergencies, Airmen are encouraged to contact the Unaccompanied Housing Office at 228-3003 during duty hours and the ADL alert phone after hours at 520-940-7425.
